B2B software

A vendor shortlist, taken apart piece by piece.

Anyone choosing business software often asks an AI assistant for a shortlist of vendors. TrustInsider takes that answer apart piece by piece and, for each part, tells you what it measures and what to correct.

An answer taken apart

The four parts of a vendor shortlist

An answer that suggests software is made of distinct pieces: the category it puts you in, the features it attributes to you, the price it reports, the sources it cites. Each one can be right or wrong on its own.

Business software buyers use assistants to draw up a first list before they even speak to a vendor. What goes into that list depends on how the answer describes each product: taking it apart helps you see which part gets you in, which part leaves you out and which part leads someone to a call on the wrong basis.

QuestionWhich software should a hundred-person company use to manage expenses and business travel?

AI assistant · sample answer

You could consider the demo software, an accounting tool that does not integrate with payroll systems and costs the same as the price list from two years ago, as reported by the listings on a review platform.

  1. Error

The category is close but wrong: the product is for expenses, not accounting.

  2. Statement

The payroll integration was released months ago and is documented.

  3. Error

The price comes from a withdrawn price list.

  4. Source

The listing on the review platform has not been updated.

The first part

The category decides which shortlist you make

If the assistant puts you in a category that is close but wrong, it does not suggest you when someone is looking for exactly what you do. The category wording should be chosen to match the buyers’ own words.

Category questions are the ones that open the search for a vendor: “software for”, “alternative to a tool”, “platform that does”. The panel collects a series of them by market and language and shows which ones you appear in. When the category is wrong, you declare it in the buyers’ words on the website, in the documentation and on review platforms.

What do companies use to approve business travel?Business travel approvalPublic documentation and listing on the platforms
An alternative to spreadsheets for reimbursements?Employee reimbursementsFAQ page and use cases

What to avoid: the product ends up in a nearby category and is not suggested in the right shortlists. What to do: declare the category in the words buyers use, identical on the website and review platforms.

Features and prices

The released integration that shows as missing

A feature released months ago is described as missing, or the price is from two price lists ago. These are verifiable claims, and they are corrected with dated pages the answer can pick up.

AI accuracy compares what the answer says with your documentation and your pricing page. For software the most solid remedy is an integrations page and a pricing page with the date of the last update, readable by a program too: clear lists, no information hidden in an image.

What to avoid: the answer gives a withdrawn price, read on a third-party listing. What to do: a readable, dated pricing page, and the listing on review platforms kept up to date.

The last part

Reviews, analysts, documentation and communities

Answers about software cite review platforms, analyst reports, public documentation and technical communities. Each one comes in at a different moment of the choice.

At the start, review platforms and category lists carry weight; as the choice narrows, documentation and technical communities answer the specific questions. Complete public documentation is the source the vendor controls most, and it is also the one assistants’ bots read in order to answer.

A software product’s sources by how technical they are and when they carry weight

Four types of source cited in answers about business software, placed according to how technical they are and how early they carry weight in the buying journey, without numbers.

How early it weighs in the choice

How technical it is

  1. Review platforms

They form the first list with ratings and categories.

  2. Analyst reports

They place vendors in a market and describe it.

  3. Public documentation

It answers what the product really does.

  4. Technical communities

They come in when the choice is narrow, with concrete problems and solutions.

The bots that read

When assistants’ bots read your pages

Before citing you, an assistant has to read you. The platform counts AI bot reads on your pages, day by day, so you see whether documentation and pricing are really being reached.

The glimpse shows daily AI bot reads on a demo brand, with days without rows left empty rather than counted as zero. For software the question is precise: was the integrations page updated last week read after the change? If no bot reaches it, the answer will keep repeating the old version.

Niche software

Vertical software: the customer’s trade before the product

Software for restaurants, hotels or dental practices is searched for in the words of the customer’s trade. The questions and the sources are those of the sector served, not of software in general.

For niche management software the answer draws on trade associations, trade magazines and communities of owners more than on general platforms. The panel is built with the trade’s questions, and the correction often goes through that sector’s sources. Restaurant management software, hotel software, dental practice software, accounting and CRM for estate agencies each have their own use case.

Frequently asked questions

Questions about AI visibility for B2B software

How to get into vendor shortlists, what to do about a feature described as missing, how much review platforms count and how to follow several languages.

How does software get into the shortlists an assistant suggests?

By appearing with the right category in the sources the assistant reads: website, documentation, review platforms, industry reports. The panel tells you which category questions you appear in and which you do not.

What do you do if the answer says a feature that exists is missing?

You publish or update the page that documents it, with the date, and align the third-party listings. At the next cycle you check the claim on the same questions.

Do review platforms count more than the website?

Often yes at the start of the choice, because they form the first list. For specific questions, documentation and technical communities carry more weight.

Can I measure answers in French or German?

Yes: the panel is built by language and country, and results from different markets are not added together.
